Automations
What you do every day, running on its own.
Build rules as sentences, or ask Noa for them in plain words. Organized by the client journey, with an on/off switch and a history.
What Automations includes
Along the client journey
Arrival, viewing, closing and rentals, each stage with its own rules.
Ask Noa for them
She suggests what to automate based on your agency.
Ready-made recipes
They install switched off so you can review them first.
Who it is for
For anyone who repeats the same tasks every week.
Welcoming a client, reminding them of a viewing, flagging rent that’s due or sharing leads among agents. If you always do it the same way, it can run on its own, and you still see what happened.
- Agencies with a team
- Independent agents
- Rental managers
- Developers with a sales office
How it works
Choose when, say what happens and watch how it goes.
- Step 1
Choose when it starts
When something happens in ByDomu: a lead arrives, a deal changes stage, rent falls due or an envelope is signed. Also at a set time, when another system sends a signal or at the push of a button.
- Around 60 moments across the whole agency
- Scheduled, triggered by another system or by hand
When it starts- A new lead arrivesFrom any channel
- A deal changes stageFrom Viewing to Offer
- Rent falls dueRentals
- An envelope is signedE-signatures
- Every Monday at 8:00Scheduled
- Step 2
Say what should happen
Send a WhatsApp template, an SMS or an email, create a task, notify someone, assign in turns, move the deal or ask Noa. With waits, conditions and different paths.
- Conditions with “and” and “or”, waits and branches
- Also Slack, Teams or your mailing lists

- Wait until the day beforeAt 9:00 a.m.
- Send the reminder templateWith the time and address
- If no reply within 3 hoursTake this path
- Notify the agentSo they call before heading out
- Step 3
Or ask Noa for it
Tell her what you want in one sentence and Noa builds the rule for you to review. If you’d rather start from something ready, there are 18 recipes in six areas: leads, sales, viewings, rentals, team and integrations.
- Welcome, round-robin, missed viewing
- Rent reminder, lease renewal, chasing signatures
If someone misses a viewing, write to them to reschedule and create a task.n. NoaDone: when a viewing is marked as missed, I send the reschedule template and create a task for the agent. Shall I switch it on?Yes, switch it on. - Step 4
Test it and see what happened
Before switching it on, you test it with a sample case. Afterwards, the history shows every time it ran, who it wrote to and what is still waiting.
- Test panel before switching on
- A switch to turn it off in one tap

- Nobody writes again to whoever didn’t show up
- Connecting another tool needs a developer
With Automations
- Every reminder goes out on time
- Leads are shared out in turns, automatically
- Whoever didn’t show gets a message to reschedule
- Slack, Sheets or your mailing lists, in the same rule
Use cases
How each kind of agency uses it.
Independent agentViewings remind themselves
One rule writes to the client the day before, and another offers a new time if they didn’t show. You just show the property.
Agency with a teamFair routing and nobody left waiting
New leads are assigned in turns, the WhatsApp welcome goes out and the team gets an alert in Slack or Teams.
Rental managerRent and renewals on time
The payment reminder goes out before the due date and, as a lease nears its end, the renewal task is created.
Do I need to know how to code?
No. Rules are built as sentences by picking from lists, or you ask Noa for them in your own words.
How is a rule different from a flow?
A rule reacts to something that happens in ByDomu and takes one or more actions. A flow is a guided conversation with the client: it asks, decides based on the answer and hands over to an agent or to Noa.
Can I connect Zapier, Make or n8n?
Yes. A rule can start when another tool sends a signal and can send data to any web address. That’s how Zapier, Make, n8n or your own systems connect.
What if a rule gets something wrong?
You switch it off and check in the history who it wrote to and what it did. That’s why it’s worth testing it first in the test panel.
Which plan includes it?
Every plan. Profesional includes 5 rules and 5 active flows, Business 20 and 20, and Enterprise as many as you need. Draft flows don’t count.
