Customer story · Eastern Antioquia

The problem was not the clients. It was not knowing which ones were lost.

Match sells and rents in eastern Antioquia, Colombia. They had inventory, a team and people asking. What they lacked was seeing what happened to each conversation after it arrived.

The challenge

The operation existed. What it did not leave was a trace.

And what leaves no trace cannot be corrected. What they told us about how they worked before ByDomu.

  • Clients lost without anyone noticing

Someone asked about a property and the conversation could die right there. They were not handled badly: they were not seen.

  • Impressions instead of data

Where clients came from or at which stage deals stalled: there were opinions, not information.

  • Follow-up that depended on goodwill

The agent who followed up and the one who did not left the same trace in the system: none.

  • Commissions argued at every close

Who sourced it, who sold it and whether it was paid lived in memory and in a spreadsheet.

  • Targets that could not be measured

With nothing to measure them by, targets were wishes. At month end nobody knew whether they were met, or why not.

How they work today

They do not use “a platform”. They use concrete pieces of ByDomu.

Each one feeds the next: without an inbox there are no reliable statistics, and without statistics targets are wishes.

  1. Step 1

An inbox with an owner, and Noa at any hour

WhatsApp, Instagram and Messenger reach the agency inbox, each conversation with an assigned agent. After hours Noa answers with the real inventory and proposes the viewing on the agent’s calendar.

    • Nobody answers from their personal phone
    • What arrives at night is already answered by morning
  2. Step 2

    Every deal, with its history

The deal is born with the first message and moves through the pipeline to the close. The statistics come from right there: where clients come from and at which stage they stall.

    • No report for someone to assemble on Friday
    • The full history on the client’s record
  3. Step 3

    Targets and each agent’s performance

Targets per agent or for the whole agency, in sales or rentals. Each profile shows what they handle, their viewings and how their target is going during the month, not at the end.

    • Conversations with the team start from the same facts
    • You see in time who needs help
  4. Step 4

Commissions with the split in writing

Every commission carries its participants with their role — sourcing agent, selling agent, the agency, an outside collaborator — and its status until it is paid. What used to be argued is now looked up.

    • The split is decided before the close
    • Pending, invoiced, part-paid or paid

What was not in the plan

With rentals they entered a new business.

Managing rentals means collecting the rent every month, deducting the fee, paying each owner their share and answering when something breaks. Match opened it with the Rentals module, in the same system that already held their inventory. It was not optimising what they did: it was starting to do something they did not do before.

  • Contracts with rent and fees
  • Monthly collection
  • Owner payouts
  • Guarantors and renewals

How adoption went

ByDomu came in piece by piece, not all at once.

No dates and no figures: the order in which each piece came into their operation.

  1. Stage 1

    Bring what they had

Inventory and contacts came over from their previous CRM, without switching it off in the meantime.

  2. Stage 2

One inbox for the whole team

WhatsApp, Instagram and Messenger with an owner per conversation. Noa, after hours.

  3. Stage 3

    A trace for every deal

Deals, statistics, targets and commissions on top of what was already coming into the inbox.

  4. Stage 4

    A new line of business

Rentals: contracts, collections and owner payouts.

  5. Stage 5

    Their site, on the API

Their own bilingual site, reading the inventory from ByDomu.

Their site, built by us

We built the site you see here on the API.

Match does not use a template portal: they have their own bilingual site, on their domain and with their design, built on ByDomu’s public API. Drop a price and it drops on their site the same day, with nobody updating anything twice.

Home page of the Match Propiedad Raíz site, with its property search

Their real site. The inventory shown there is the one their team handles inside ByDomu.
